Department Chair or Secretary

Materials for Rank & Status Review

1-Create a Box folder titled CandidateLastName_Department_InitialReview or FinalReview or Full (e.g. Smith_English_InitialReview).

2-Put the items below into the Box folder. Each item must be submitted as a single PDF and named as follows: “CandidateLastName_Department_DocumentName.pdf”. For instructions on converting Word docs to PDF format, click here.

3-Once you are done, contact the Secretary to the Dean and the Associate Dean over Rank and Status to inform them that the file is complete and share you Box folder with them (make them “editors”).

Changes: The College Secretary will fill out the nomination form. Departments, rather than candidates, are now responsible for the filing of the waiver.

[ ] Copy of waiver for external reviewers

See template here.

[ ] Expectations Letter (for professional faculty only) or Initial Review Letter (for final review only)

[ ] Review letters of citizenship activities

These are not required but may be helpful, particularly for work done outside of BYU.

[ ] Two peer evaluations of teaching

Peer-reviewers should answer the questions on the second page of this document. Peer-reviewers should visit the classroom at least once and complete their review a semester before the candidate’s file is due to the college.

[ ] External review of scholarship letters (not required for initial review)

Upload three letters from reviewers and their CVs in a single .pdf. See instructions for selecting external reviewers under “Department Chair’s Report,” below.

[ ] Copy of letter sent to external reviewers

Here is the template for our college.

Materials submitted after department evaluation

[ ] Report from Department Committee

The department committee’s report is key to evaluating the quality of scholarship and the reputation of venues (journals, presses, etc.). Please comment specifically on the significance of publications and the reputation of venues.

[ ] Report of Department Vote

Do not include direct quotes. Instead, summarize the conversation and report the vote tally.

[ ] Department Chair’s Report

Remember to carefully describe how external reviewers were selected. Start this process early. Solicit reviewers from the candidate and from many others within and without the department; have department committee rank potential reviewers based on their scholarly reputation and ability to objectively evaluate candidate; invite reviewers based on this ranking; 3 are required but more than 3 is appropriate, especially when a candidate’s scholarly agenda extends beyond a single field. A template letter for external reviewers can be found here.

If the candidate has taught less than the department norm (usually 3-2-1), explain the reasons behind that in your letter.
